Avoiding Email Hosting Problems

Email hosting problems can be such a pain especially in business. It’s annoying to be unable to reach your email especially if you are in correspondence with a client most especially with prospective ones. But how can you actually avoid having these problems happen to your email. Here are some tips you can follow.

Consider an online email hosting service – This would help you control your email much better because you are the one who created it. It can also be less expensive in the long run since you only have to pay for a one-time fee to do this. However, this is only advisable if you are quite techie yourself and can do this on your own or you can confidently manage your own email host after your hired developer turned it over to you. You also need to make sure that your anti-threat email software are always updated.

Refrain from signing up using your email address – As much as possible, be mindful of the services you sign up for using your business email. This also goes for personal email addresses. You never know if you’d only come across a phishing site. SPAM emails are also annoying to have since it takes up valuable space in your inbox and thus, makes other important emails bounce when it consumes your email’s memory.

Upgrade your servers regularly – A typical email hosting server should be changed every 5 years. Systems get upgraded and so does internet threats. So check up on your server performance regularly to avoid major email hosting problems.

To Host Or Not to Host, That is the Question

This is the scratchy head topic that all forward-thinking businesses deliberate on. It is a subject of great financial debate for companies, small to large and the decision to host or not to host can either save you money or pour much needed cash-flow from your IT budget straight down the drain. However, there is sound reasoning for the decision to use hosted solutions and we will discuss the pro’s and con’s so that you can make the right choice for your company, when the inevitable discussion arises over the boardroom table.

You may have seen lots of interesting offers about “cloud services” and “business virtualisation” but at the end of it all, there is no better word for hosted services than ‘hosting’. Hosting is for ease of understanding, internet-accessible hardware. What I mean by this is that all of the hardware that would usually be sitting in your internal communication or server room is sitting in someone else’s and you have a secure direct tunnel to these systems over your home or office internet connection.

There are many types of hosted solutions on the market such as, dedicated server hosting (individual servers that you have full control over), virtual private server hosting (multiple software-based servers spread over a single hardware server), managed hosting (services that are managed by your hosting company rather than you), unmanaged hosting (services that are managed by you with only light support from your hosting company), collocation hosting (your own hardware hosted in another company’s data centre), but I am going to concentrate on a particular type of hosting that I would recommend for standard day-to-day business activity. This is managed web and email hosting.

So you’re a small company with 5 to 20 staff members thinking about investing in some serious internal hardware and kitting out your office with business servers. Or, let’s say you’re a medium sized company of 25 to 50 people with 4 to 5 year old infrastructure acutely thinking it’s time for an upgrade. Well, before you start running to your Financial Director or business partner asking to spend anything from ?10,000 to ?50,000 payable in one go, why not investigate the hosting route as you will not only reduce your immediate financial exposure dramatically, but you will also be investing in business protection, both monetarily speaking and systems-related.

Investing in managed web and email hosting is a very cost effective way of progressing the technology in your company. Your websites and emails are all stored on secure servers outside of your working environment, managed and supported by qualified technical support staff and you have a direct secure tunnel to these servers using your internet connection on your computers or even on your mobile phones. Immediately you have reduced the risk on your business and have set in place reliable continuity elements. In a hosted environment the IT backbone of your company (and for the majority of companies these are your website and emails) resides on an external source and should an emergency occur internally such as an office fire, theft or terrorism, all of your core systems are protected and will remain operational. In addition to this, software/hardware upgrades, service packs, extra modules for your hosted hardware are all handled by your hosting company which enables you to use the latest technology without investing in any further personal time or money. Not to mention the most important part of hosting, a Network Uptime and Service Level Agreement and if you use one of the top hosting companies that provide this at a 100% level, you are guaranteed a 24/7/365 provision on the accessibility and security of your technology or more importantly, your business.

However, should you decide to host your core business solutions internally, you are not only putting all of your eggs in one basket, forced to lay out a tremendous amount of money that for small companies just is not practical in terms of cash-flow, but you also cannot guarantee to customers, investors, shareholders, partners, staff a 100% uptime and are utterly reliant on internal staff for support and additional third parties for countermeasures, all levying costs. Ultimately, should any emergency occur, your business will come to a standstill.

Therefore on security and continuous business activity alone, the financial burden and company exposure of using internal hardware completely outweighs the actual risk of not hosting your core business IT structure. So why isn’t everyone using hosted solutions then?

People fear what they cannot see or touch and therefore using hosted services for some is a risk. Since they cannot control the source then it is deemed as being out of their control. However, this is a good thing as that control hinges on the hosting company and they are not only qualified to handle this for you but you pay them for this skilled level of cover. Another reason why companies do not want to use hosted solutions is because they would also be at the mercy of their internet connection. Hang on a minute, if the internet connection goes down at the office with internal business servers they will stop communicating with the outside world. So isn’t that the same thing? The answer is ‘yes’ it is and in the event that your internet connection does go down, savvy companies would have already installed a backup ADSL line for example, which isn’t that expensive in order to keep you afloat, or without this, there is simply no difference to the internet connection going down whether you have internally or externally hosted hardware.

There are two other reasons why companies prefer not to host and that is due to migration time and cost. Migration is always a cause for concern for companies because when migrating to hosted services, changes to the DNS Server (Domain Name System) of your domain are necessary. Your DNS is essentially the index for your domain which tells every other nameserver on the internet where your website is stored, how your emails are processed and to which IP address and so on. However, making a change to your DNS requires a process called propagation to occur which is the period when every nameserver refreshes their own directories to pull in any new settings. Nameservers refresh daily but at different times, so there will be occurrences during propagation when your website and emails will be inaccessible or people will report they receive bounce back messages when attempting to email. However, usually 24 to 48 hours after any DNS change, your website and emails are live to everyone on the internet and therefore it is always good practice to make changes on a Friday afternoon to allow propagation to occur during the weekend. You can put in provisions such as using a backup mx record (an entry in your DNS that points emails to a backup mail store in the event of a failure) that will store any emails during this time, as well as always keeping your website on the existing web server so that companies and customers are able to view your website either on the old or new server, dependent at which stage of propagation their nameservers are at. However you do have to allow for the propagation period and the possibility of your website and especially your emails to be down for a brief amount of time.

In terms of migrating and importing web directories and mailboxes to the hosted servers, this is straightforward and is usually handled efficiently by either the company you are purchasing the hosting solution through or a member of your internal IT Department. However, if your business simply cannot afford to be offline even for a single weekend and this will be more prominent in large to corporate companies, then hosting is not for you and you will have to invest in costly internal infrastructure.

Lastly we have the cost implications of hosting. I have already mentioned the acquisition of internal hardware could be in excess of ?50,000, but with hosted services, you do not incur high-end financial burdens. There are no one-off purchase costs where you have to consider raising capital or depreciation of hardware, you spread the cost over a period of time. For small companies, the annual total hosting cost would not even equal the full cost of an outright server purchase and for larger companies the cost of hosting is effectively a monthly payment plan, where both scenarios benefit from using servers at the forefront of technology, a dedicated technical support team, business continuity program and a service level agreement. Although you will not be able to position the hosting as a company asset, hosting is in itself an asset for your company in terms of the immediate low financial costs and high protection factor for the daily running of your business.

For these high mission critical systems, the hosting route provides for small and medium companies, an inexpensive, scalable, reliable and supported corporate infrastructure. For larger companies the cost of hosting your website and emails is similar to a standard monthly server support contract, which hosting provides as standard with their service level agreements. I would highly recommend any company, especially small and medium companies who cannot afford to invest in expensive internal hardware, a technical support team and business continuity planning, or need to have their core communication always on and always available, to seriously consider hosted services. We provide web and email hosting as part of our small and medium business solutions, so get in touch with us if you would like a clearer understanding on the benefits of hosting for your company.

To host or not to host, that is the question. I think the question is rather can your business afford not to host?

Benefits of Email Hosting Services

For small-medium sized businesses, the need for effective global communication and email messaging is more important than ever and can be largely attributed to enable collaboration among globally dispersed employees, partners, and customers. And running in-house mail servers always bring high risk of downtime for them. However, the situation can be improved with the execution of optimal email hosting solutions tailored to fit specific messaging requirements of your enterprise.

Using email hosting services from a reliable partner not only enhance the efficiency of your email infrastructure but also bring you peace of mind that your email system is always secure, backed up and up and running. Good reliability of the email hosting company is behind the success of any of the business. Before buying email hosting services, ensure to check the features like 24/7/365 support, certification of the support staff, cost benefits, the storage limit of the mailbox offered, and the maximum number of emails that you’re allowed to offer.

Another important factor is the technology used for the security of your email server. Your email hosting solutions must be able to protect your email server against phishing, virus, and spams. Nothing spoils the functionality of your mailbox like nasty virus and spams by stealing your identity and causing business losses. You can reduce your total cost of ownership by saving on outstanding expenses to host and maintain your email server.  With email hosting solutions, you get shared calendars, shared contacts and other productive email communication tools at the most cost effective price.

In contrast with in-house-on-site email servers, outsourcing email hosting services provide maintenance and have anti-virus subscription and security update upgrades. Email hosting is an ideal solution for businesses that want to share messages, calendars, and contacts – without the cost and hassles of setting up their own email server. Also email hosting helps you deal with all your email difficulties and leads to no downtime at all.

Most companies like NaviSite ensures high availability and security of your Outlook Exchange emails, with full business email collaboration and mobile compatibility to always stay connected. Setting Up Web Hosting

Everyone now a days needs a web site for their business, it is not longer a luxury it is a necessity and if you don’t have a web site you are behind. Web sites are very easy to setup and create, with only a very basic knowledge of computers needed. Within minutes you can have your .com created and your website up and ready to advertise for your business. In this article I will walk you through getting a domain name and setting up your web site.

First you will need to find a web hosting company there are many out there and pretty much all of them will offer you a domain name as well. These hosting companies will actually store your web site for you and allow you to log into them to update your web site. Most of these companies will also host email for your, and offer you a domain name. Depending on the company you go with your web and email hosting can run you anywhere from $5.00 a month to $50.00 a month. This price is going to depend on what services you want and the amount of storage you will need for your email and web site. Most small businesses can spend as little as $5.00 to $15.00 a month and get more storage space then they will ever use. Your domain name will run you about $8.00 to $15.00 a year depending on whether you want a .com .net or .biz.

Browse around because all web hosting companies offer different packages at different prices, so find one that offers everything you want and things you don’t want. You can even check out my other article on what to look for when choosing a web hosting company. Once you have found your web hosting company and you have picked the package that you want, you will have the option to choose a domain name. So I have now selected my package and I am at the checkout page where th hosting company is getting all of my information. As I go through the information they will ask me whether I want to register a new domain, transfer an existing domain, or use my existing domain. We are going to register a new domain and simply type in what we would like our domain to be and they will tell us whether it is available or not. Then we will finish the entire checkout procedure and our web site is no setup for us instantly and ready for us to start creating the pages. Note that most hosting companies will tell you that it will take up to 24 hours for your .com to work properly. Most of the time it takes about 8 hours or so for the .com name to go across the internet.

There are a couple of ways that you can create your web site now and that is either creating it on your computer and then uploading it. Or you can just create it using the web hosting companies control panel. I will describe using www.cheapasdirthosting.net control panel for this article. We will first click on the file manager and we will be shown a list of folders, we are going to click on the folder that has our domain name in it. Some web hosting companies will automatically put an index.html file in your folder for you. If this file is here simply click on it and where is says choose action select open and then choose the WYSIWYG editor for simple page modification. If you are not familiar with WYSIWYG it stands for What You See Is What You Get editor so it will look similar to a word processor. You can use this edit and not have to know a thing about HTML and make a very professional looking website.

Web Hosting companies now a days are very inexpensive and will allow even the most novice computer user create their own professional web designs. So there is no reason for any business to not have a web site to help promote.

All that we hear lately is doom and gloom about the economy, weather it relates to us on a local, national or international level.

The only way to level the playing field for your business is through the Internet. There is still a ton of opportunity by expanding your presence within the International market.

That still doesn’t mean that your site canno’t be optimized to increase relevant traffic,
locally or nationally as well.

Is there a light at the end of the tunnel, you better believe it, there has never been a storm that didn’t end eventually and what is ocurring now is no exception, now is the time to start thinking outside of the box.

This is not the time to throw in the towel, now is he time to hold your ground and start establishing your presence, this is a great time for opportunity.

Optimizing your site is a process, of doing a in-depth analysis of what you are offering on the Internet and more importantly having the necessary integrated tools that will allow you, and I do mean you to make the correct choices concerning your Web site.

Most Webmasters are great when it comes to the physical building of a Web site, but I came across very few that understood the dynamics of how to increase relevant traffic to your Web site.

Site-traffic.org is the beginning of establishing that presence!

Are You Looking For Hosting Microsoft Exchange?

If you are well acquainted with the term as well as benefits of Microsoft Exchange Server and you are thinking to deploy this robust messaging & collaboration platform to simplify your email needs, you should take care of the following things:

As such, there is no dearth of companies that invest in hosting their own Microsoft Exchange Server environments. Costs associated with purchasing equipment, licensing, installing the messaging system, and maintaining it can be challenging as well as extremely prohibitive. This makes self-hosting a bad option. On the contrary, if you hire well-trained IT professionals especially for highly centralized users, you may find that outsourcing hosting services for your Microsoft Exchange can be one of the best choices for you.

Reasons that make self-hosted exchange expensive:

An efficient Microsoft exchange environment needs dedicated Active Directory Domain Controllers and dedicated Exchange Server. All of these servers must be licensed for Microsoft Windows Server 2003, and the mail server must be licensed for Microsoft Exchange. In addition, you are required to license each user for both Windows Server and Exchange Server. Just hardware and implementation can cost you between $4000 & $5000 in licensing alone.

The equipments mentioned here are just the building blocks of your messaging system. There are several other vital components missing from the configuration, which may include Data Backup, Anti-virus / Anti-Spam, Internet connectivity, and ongoing support and maintenance.

What is Shared Hosted Exchange?

There is a plethora of companies that have their own Microsoft Exchange Server infrastructures, capable of supporting thousands of users. A web hosting company like NaviSite offers a simple solution for single users as well as small businesses to host exchange email proficiently. There are numerous benefits to a shared hosted Exchange Server environment. The most obvious is cost. Navisite helps small businesses to avail numerous advantages of the economies of scale which were supposed to be the cup of delight of large enterprises only.

What benefits come along with NaviSite’s Hosted Exchange?
